GDPR statement – How I Use and Store Client Data

Some information I require as a Rules Coach and the questions I will ask clients is very sensitive since it relates to personal relationships.

The reason I ask for this information is to make an accurate analysis of your relationship status and problem based on the training I have received from the authors of ‘The Rules’ books Ellen Fein and Sherrie Schneider, this will include in-depth details of your relationship or past relationship(s).

The information I keep will be kept for five years from the time a client contacts me, this is so that I can reference client information for relevant consultations and in case of any potential litigation action a client may take up against me. For this reason I also require clients sign a disclaimer with their address and signature plus date of signing to ensure they are fully aware that the coaching I provide is not a form of therapy and if clients use the information I provide that this is at their own risk.

I am contacted via various forms of communication tool by clients including text message, Gmail, WhatsApp, Facebook Messenger, Skype and Google Hangouts (there may be other forms of communication tool that future clients contact me by). Client communications will be kept for five years as per the paragraph above. Client forms and certain communications will be kept on Gmail or GDrive for five years. I may also contact clients from time to time for feedback on the services I have provided (via use of electronic survey such as ‘Survey Monkey’ and responses will be stored on survey monkey; surveys are currently anonymous unless a client wishes to disclose their name). I may also contact clients to follow up on progress and check how they are doing. If a client does not wish to be contacted this will be noted and communications stopped.

Information discussed face to face, via phone call, video call or internet call during consultation is completely confidential. All client information is dealt with in the strictest confidence and is kept private. I do not share client personal information with any other parties. Consultations are taken in a private room so no other people can overhear.
